SUPPLIER CHARTER

This Charter is aimed at all organizations that are contracted with us to provide goods, services or works. This Charter is intended to outline our commitment to and meeting expectations of our suppliers. It is superseded by service level agreements in place.

The Fund has an annual expenditure on goods and services. To meet this need it requires a range of suppliers who are innovative and competitive.

The Fund is committed to conducting its purchasing activities with suppliers in a fair, honest and legal manner with openness to these same principles. No unfair advantage will be given to any particular supplier. Contracts will be awarded on the basis of value for money, not simply lowest price.

Our commitment to suppliers

In all its commercial dealings, we will:

  • Treat all suppliers and potential suppliers with courtesy, honesty, integrity, impartiality and objectivity
  • Be as open and informative as possible to all participating suppliers throughout the purchasing process
  • Ensure that all tenderers have equal access to information
  • Carry out all purchasing activities to the highest ethical standards and in line with relevant legislation
  • Respond to enquiries and complaints courteously and timely.
  • Have transparent, fair and equal procurement processes that provide opportunities for all suppliers to compete for our business
  • On tendering, only request information that is legally required and relevant for evaluation and monitoring purposes.
  • Provide feedback on supplier performance

The Fund expects that its suppliers will uphold the same high standards as we observe ourselves, managing their social, economic and environmental impacts responsibly, and that they will:

  • Observe standards of integrity, professionalism, co-operation, courtesy, competence and efficiency including in the treatment of our staff; their staff and subcontractors.
  • Read carefully, and comply with, the evaluation criteria and the instructions for completing the tender and documentation.
  • Provide early warning of issues and problems.
  • Be pro-active in suggesting ways to reduce cost or wastage whilst maintaining or improving the quality of the product/service.
  • Comply with our Environmental Guidance for Suppliers minimising adverse impact.
  • Comply with relevant laws and regulations.
  • Supply goods as ordered to the required specification and quality.

Whistleblowing Policy

  • We operate a whistleblowing policy. Suppliers and individuals who believe that malpractice has occurred, either in the award of contracts by us or delivery of services by contractors, may contact the Internal Auditor, in strict confidence.
